Terms & Conditions – Entertainers
Chamber’s Fall Market at NNTC
Presented by the Greater Nanaimo Chamber of Commerce
Please carefully read the following and sign at the bottom. These Terms and Conditions apply to all applications submitted by performers and entertainers (hereinafter referred to as "Entertainer") participating in Chamber’s Fall Market at NNTC, organized by the Greater Nanaimo Chamber of Commerce ("the Chamber").

Application and Approval
• All entertainer applications are subject to review and approval by the Chamber.
• Applications must include a description of the act, group name (if applicable), number of performers, and any technical needs (e.g., sound equipment, space, power).
• All performances must be family-friendly and appropriate for a general audience.
• The Chamber reserves the right to decline or remove performances that are disruptive, offensive, or deemed unfit for the market environment.
• Entertainers may not change their assigned location or time without prior approval.
• The Chamber reserves the right to adjust the performance schedule and location as needed for operational or safety reasons.
• The Event Coordinator reserves the right to terminate a performance if Terms and Conditions are violated.

Cancellation Policy
The event is rain or shine. As an indoor event, performance will proceed regardless of weather conditions.
If you need to cancel, please notify the Chamber at least 7 days in advance. No-shows or last-minute cancellations may affect future participation opportunities.

On-Site Expectations & Set-Up
• Entertainers must arrive at least 30 minutes prior to their scheduled performance time and check in with the Event Coordinator.
• Setup and takedown must be completed efficiently. Entertainers are responsible for their own equipment, unless prior arrangements have been made.
• Early takedown or departure is not permitted unless explicitly approved in advance.
Entertainers must follow all onsite safety protocols and instructions from Chamber staff or site security.
General Conduct & Safety
• The Chamber has sole discretion to shorten or cancel performances due to unforeseen circumstances.
• All performers are expected to be professional, respectful, and considerate of market attendees, vendors, and fellow entertainers.
• Sound levels must be appropriate and will be monitored by the Chamber. Entertainers may be asked to reduce volume to maintain market ambiance.
• No smoking or vaping is permitted in or near the performance area (minimum 10m distance required).
• Entertainers are responsible for keeping their area tidy and leaving no waste or debris behind.
• Power access is limited and must be requested in advance.
Legal Responsibility
• The Chamber holds general event insurance; however, entertainers are responsible for their own equipment, personal liability, and any special permits or insurance related to their act.
• Entertainers agree to indemnify and hold harmless the Greater Nanaimo Chamber of Commerce, its staff, volunteers, and affiliates from any liability, injury, damage, or claim arising from their performance or equipment.
• The Chamber is not responsible for theft, loss, or damage of entertainer property during the event.
• Entertainers are considered independent contractors and shall not represent themselves as agents or representatives of the Chamber.
