Please read and acknowledge the following: Application & Approval All vendor applications are subject to approval by the Greater Nanaimo Chamber of Commerce (“the Chamber”). Applications must include a clear description of goods or services to be promoted or sold. Food vendors must comply with all VIHA regulations and submit a valid VIHA permit with decal. Vendors may not change their assigned booth location unless authorized by the Market Coordinator. The Chamber reserves the right to relocate vendors or make layout adjustments as needed. CANCELLATION POLICY Cancellation Deadline: Vendors may cancel up to October 20, 2025 for a partial refund (subject to $35 processing fee). No refunds will be provided after October 20, 2025. Drop-In Vendors: No refunds for single-day bookings. SET-UP & OPERATIONS Vendor setup times will be provided at least 48 hours before the event. No early takedowns are permitted. All vendors must remain set up for the full event hours. Booths must be fully set up before opening and dismantled only after closing. Vendors must supply their own tables, chairs, display structures, and extension cords if applicable. SITE CONDUCT & SAFETY Vendors are expected to conduct themselves professionally and respectfully at all times. All display items must remain within assigned booth space and must not obstruct walkways or neighboring vendors. Vendors are responsible for keeping their space clean and disposing of waste. Food vendors must manage food waste responsibly. Smoking and vaping are prohibited within the event area. Designated areas must be 10 meters away from the market zone. INSURANCE & LIABILITY The Chamber holds event insurance and a venue license, but vendors are responsible for their own required permits, licenses, and liability insurance. Vendors agree to indemnify and hold harmless the Chamber, its staff, and volunteers from all liability, damages, and claims arising from their participation. The Chamber is not responsible for theft, damage, or loss of personal or business property before, during, or after the event.
